Job Description: Rescue Office Administrator

Overview:
San Saba County Friends of Animals is seeking a dedicated and organized Rescue Office Administrator to oversee and coordinate the daily operations of our animal rescue. This role is integral to ensuring the smooth functioning of our programs and initiatives, supporting our mission to rescue, rehabilitate, and rehome animals in need.
Key Responsibilities:
- Animal Intake and Foster Placement: Manage the intake process for animals entering the rescue, including locating and coordinating with foster homes.
- Database Management: Input and maintain accurate records of all animals in the rescue using our database software including but not limited to Google Docs, Trackabeast, and Petfinder.
- Social Media Management: Post and update available animals on all social media platforms including but not limited to TikTok, Facebook, and Instagram to increase visibility and adoption rates. Make necessary flyers or videos to post.
- Medical Records Tracking: Track and maintain medical records for all foster animals, ensuring timely updates and care. Alerting vaccine coordinator or foster parents of items due.
- Bookkeeping: Assist with date entry on financial records, including tracking donations and expenses, and maintaining accurate financial reports.
- Fundraising and Grants: Assist in fundraising activities, including the preparation and submission of grant applications to secure funding for rescue operations.
- Communication: Answer phones, respond to inquiries, and manage general communication on behalf of the rescue. Answer all emails and calls in a timely manner.
- Board Support: Prepare the agenda for board meetings and attend meetings. Meetings are once a quarter in the evenings.
- Trap-Neuter-Release (TNR) Program Management: Oversee all aspects of the TNR program, including but not limited to signing owners up on waitlist, contacting owners and giving them information on their upcoming visits, scheduling TNR with medical facilities, trapping cats, preparing their traps for the evening, driving the animals in the van to other counties for medical appointments, returning cats to their owners, handling all necessary paperwork for appointments.
- Volunteer Management: Recruit, train, and manage volunteers, ensuring they are engaged and effectively contributing to the rescue’s goals. Track all volunteer hours.
- Community Outreach: Write and submit a weekly “Pet of the Week” column for the local newspaper and write any other articles as needed. Assist the President in visits to schools and nursing homes. Look for other ways to get the community involved and educated.
- Radio Show Assistance: Prepare questions and attend the weekly radio show at San Saba Radio on Wednesdays at noon.
- Donor Relations: Track donations, maintain donor records, and send personalized thank you cards to acknowledge contributions. Send end of year tax documents to all donors.
- Adoption Coordination: Assist Adoption Coordinator in processing of all adoption applications including reference checks and vet checks, preparing adoptions paperwork, post picture of adoption online, and contacting adopters 48 hours after adoption to check in on the pets.
- Foster Animals Assistant Coordination: Assist the Coordinator with vaccine schedule, worming schedule, Spay/Neuter schedule, Heartworm and flea medication schedule, and coordinating with the vet for appointments.
- Additional Duties: Perform other day-to-day activities as needed to support the overall mission and operations of the rescue.
Qualifications:
- Proven experience in operations management, preferably within a nonprofit or animal rescue organization.
- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in database management and social media platforms.
- Ability to work independently and remotely, with minimal supervision.
